Global HR Portal UI refresh using atomic Design System

Tools: Sketch, Invision, Plant, Remesh






This is an internal client project so areas of indentification and content have been blurred out. Only high level processes have been presented, further details and insights can be talked upon request and presented during interviews.





Background

An ASX-listed insurance company needed help to reimagine its global HR employee portal. Following some work from Management Consultants, I’ve come into this project as the design arm. Leading the design process and working collaboratively with the client design team to deliver the platform.





Project Brief

The overarching brief was to deliver an engaging, simple, and user-friendly portal enabling the client to unlock capacity across HR and realise tangible benefits.

What were the problems?

Platform feasibility constraints
The platform was developed on an out-of-the-box solution, the overall web structure had to be maintained and feasibility constraints considered before any design proposals.

Managing internal/external direction
Being the middle man between the Management Consultants and the client, I was in charge of balancing the client's needs and our project scope.

Integrating clients Atomic Design System
It was essential to ensure that all designs aligned to the client's Atomic Design System as the key stakeholder was the Global Design System Head.





The Approach - Discover

UX Audit 
I started with a UX audit of the original dashboard, breaking down and mapping out the platform architecture and ideating initial design thoughts based on client inspiration mood boarding.


UX Research
We then conducted a series of UX research sessions using a platform called Remesh. Remesh a live conversation tool allowed us to interview hundreds of employees globally, allowing us to discover key pain points and user goals through quantitative and qualitative results.







The Approach - Define

Research Synthesis
Analysing the quantitative and qualitative results I arrived at three key research themes.



When designing we made sure to reference back to the key themes, as well as focusing on three journey statement areas we discovered:

  • Finding information - “I want to understand more”
  • Raising a query - “I need to raise a request”
  • Transfer to IT Portal - “As I find more information, I am told my requests needs to be raised in the IT Portal”





The Approach - Develop & Deliver

UI Design
After reviewing and synthesizing we commenced the design phase. I was embedded into the client's global design system team, working closely with their Design Director and Lead Designer.

To create a collaborative workflow we used a plugin called Plant, as Sketch was their platform of choice the plugin enabled me to sync our work together via upload and download functions.

I created the initial UI designs in a mid-fidelity structure, then applied the client's design system layer on top to create high-fidelity designs.

I had to ensure that all the designs were perfectly aligned to the client's design system and the brand guideline as the work was going directly to the Designs System Director. 






Prototyping
After getting the thumbs up for the designs I would prototype them on Invision and present them back to the Global HR Directors (Key Stakeholders).


Design Handover 
We got the seal of approval from the key stakeholders and received positive feedback to progress to the next phase. I worked on creating a handover package for the client design team, where they would then conduct a series of employee user-testing and add in the finishing touches.







The Results

Impact
Together we were able to deliver a user-centric experience that was launched globally for all the client's employees to use. I also provided a road map and potential ideal designs that accounted for potential future state rollouts.

Reflection
This was a short but intense project, I really enjoyed working with the client's design team. I believe we had a great collaborative working relationship, and I feel they felt the same based on their end-of-project feedback.
